Q&A with Shelby – your new wedding planner!

Q. Can you tell me a bit about what you do as a wedding planner and how your role supports the couple throughout the process?

A. At Timber & Lace Wedding Coordination, my role is to create a beautifully seamless, stress-free experience from the moment we begin working together, right through to your last dance. I help shape your ideas with our Wedding Planning Guide and support you through each step of the process. On the wedding day, I’m behind the scenes ensuring everything runs smoothly. Coordinating bump in and bump out, managing timings, communicating with suppliers, handling any unexpected hiccups, and making sure you can simply relax and enjoy every moment.

Q. What’s one part of the wedding that most couples don’t realize a planner can help with?

A. One thing most couples don’t realise a coordinator can help with is managing all the little transitions throughout the day—like organising family for photos, cueing entrances, and keeping the timeline flowing smoothly. These behind the scenes moments make a huge difference and let you enjoy the day without stress.

Q. How would you describe your planning style? Are you more hands-on, behind-the-scenes, or somewhere in between?

A. I would describe my planning style as very hands-on. I enjoy being actively involved with my couples. My role is to support you in making decisions, provide practical advice, and ensure everything runs smoothly, so you never feel overwhelmed. However, on the wedding day, my approach shifts to a more behind-the-scenes role. I take care of the logistics, timing, suppliers, and any unexpected issues quietly in the background, allowing you to fully enjoy your special day.

Q. What types of weddings or couples do you love working with the most?

A. I love working with couples who want a relaxed, meaningful day and appreciate having someone organised in their corner trusting me to handle the details while they focus on celebrating with their favourite people. The best fit for me are couples who want to be present, trust the process, and value a smooth, stress free experience—no matter the style or size of their wedding.

Q. How do you take a couple’s ideas and turn them into something unique?

A. I take your ideas and turn them into something unique by really listening to what matters most to you – your style, your priorities, and the overall feeling you want for the day. From there, I help you to organise those ideas into a clear, practical plan, offering suggestions and solutions that bring everything together seamlessly.

Q. What’s one of the most memorable weddings you’ve planned and why?

A. One of the most memorable weddings I’ve coordinated was my cousin’s wedding on their family property. It was actually the very first wedding I ever helped with, and it’s the one that made me fall in love with coordinating. There was something so special about transforming a familiar space into a beautiful celebration and seeing how much it meant to them. Being part of every little detail, problem-solving on the fly, and watching it all come together so seamlessly showed me just how much I loved this work.

Q. From your perspective, what makes a photographer great to work with on the wedding day?

A. Someone who’s bubbly and brings positive energy to the day is always a dream to work with. They’re flexible, calm under pressure, and proactive in capturing moments without causing stress or rushing the couple. Their vibe helps set the tone, and that makes a huge difference in how smoothly the day flows.

Q. Any tips for couples to help ensure a smooth flow between planning, photography, and real-time moments?

A. A big tip for keeping everything flowing smoothly is to communicate your priorities early, what moments matter most, how you want the day to feel, and anything that’s non-negotiable. When your coordinator and photographer know this, they can plan around it. Also, leave little pockets of buffer time. Weddings rarely run perfectly to the minute, so those small gaps make a huge difference in keeping the day calm, natural, and enjoyable for both your photos and your real-time experiences.

Q. What’s one piece of advice you give all your couples when it comes to planning their wedding?

A. One piece of advice I give all my couples is to focus on what truly matters to you. It’s so easy to get overwhelmed by opinions and trends, but when you make decisions based on your own priorities, everything feels more meaningful and the planning becomes much more enjoyable. Your wedding should feel like your story and the start of your new life together, everything else is just details.

Q. How early should couples start planning – and when should they book their photographer?

A. Couples should ideally start planning around 12 months before the wedding. This gives plenty of time to secure key vendors, make considered decisions, and enjoy the process without feeling rushed. When it comes to photography, I always recommend booking your photographer 9–12 months prior. Great photographers book out quickly, especially in peak seasons, so securing them early ensures you get someone whose style you love and who fits the vibe of your day.

Q. How do you help couples avoid overwhelm during the planning process?

A. I help couples avoid overwhelm by giving them access to our Event Planner Guide, included in all our packages. It keeps everything organised in one place—vendors, checklist, guest list, seating, budget, appointments, inspiration, music selections, payments, and more. It’s a simple, clear guide that helps couples stay on track and feel in control throughout the planning process.

Q. If your approach to weddings had a motto, what would it be?

A. Your perfect day, made effortless
